How  we collect your personal information?
SFTW (Edinburgh) collects your personal data when you decide to communicate or interact with us in any of the following ways:

  • You apply for a job with an application form or CV

  • You apply for a creative opportunity with an proposal or CV

  • You use our website,

  • You contact us via email

  • You interact with us via social media platforms.

This privacy policy doesn’t cover data in relation to being an employee, supplier or freelance with whom we are working or in discussion about working with.

The types of information SFTW (Edinburgh) collects

We only collect information that’s necessary to carry out our business. The type of information we collect depends on where and when it is gathered. This includes:

  • Information you’ve supplied in a job application or a CV

  • Information you’ve supplied on creative submissions – details about you and the project.

  • Information you have supplied in a competition entry. 

      In addition, for employees we may collect:

  • Date of Birth, Phone, Postcode, CV, Marital Status, Gender, Passport Details, Bank Details, Next of Kin Name, Next of Kin Telephone Number

Why we collect that information

The main reason why information is collected is for the purposes of providing services and support, maintaining customer relationships, business operations and the ongoing development of business activities.

For employee's,  information is collected for the purposes of performing human resource administration and recruitment, as well as for maintaining contact with our team in accordance with our business operations

Where we store that information

We will store or transfer your personal data within the European Economic Area (The EEA) The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein. This means that your personal data will be fully protected under the GDPR or to equivalent standards by law.

Only with your agreement, we may store or transfer some or all of your personal data in countries that are not part of the European Economic Area (The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein). Data is currently stored and backed up on secured and password protected computers and cloud platform in the UK.

Some data are also currently stored in our CRM, Emails database and internally managed helpdesk systems. These are secured with 2 steps identification process and fully encrypted systems

Who has access to that information

Access to this information is restricted to our support or management team, by role to key personnel to whom it relates, as well as our service providers. We do not share personal data with others unless required to do so by law.


Please contact us if you would like to correct, remove or request (in accordance with applicable law) information that we hold relating to you or if you have any questions in relation to the above. We will respond to any requests within one calendar month, in line with GDPR requirements.
